What do we mean by collaboration? After all we collaborate every day with the folks we work with. We send out emails we share files and a lot of us have even used the revision feature in Microsoft Word. So, why would I want to pay for yet another collaboration tool? What would you gain by using it?
Before we answer what might be gained, let's first ask these questions:
- Have you ever worked on a project with a number of people where each person was responsible for a particular section?
- Have you ever worked with people who traveled a lot or who didn't work out of the same office?
- Have you ever had to collaborate with business partners, vendors or customers who didn't work in your organization yet you needed a secure environment in which to work?
- Have ever needed a flexible yet secure workspace where you needed the ability to add and limit members quickly?
When we say "project" it doesn't have to be large project that would take months to complete. Let's say you need to create a proposal in just a few days. Let's say there are four of you working on it and each person was responsible for a section. You may need to have each participant access and read the sections created by other members and then have one person assemble the parts into one cohesive document.
Most of us have done this without a true collaboration tool like Documentum eRoom. So what happened? If you're like most people, you ended up with a million sections and various versions and revisions. It was really hard keeping everything straight wasn't it? You had people emailing various versions around and when you were done, you didn't save the completed document in a place where everyone could find it. After all, once it's done why would anyone except yourself and your team members care about it?
Then the next time a proposal comes in to be completed, the same fire drill commences again, although with maybe with different participants.
Ask yourself how much of each proposal is the same? Information about the company, references, the general layout, the price list. These are all sections that are common to must proposals. And if you are like most organizations, folks keep "re-inventing the wheel" because, they can't find what they did before, they may not know similar documents exist, or they can't access them easily since they work in a different location.
This is where a collaboration tool like Documentum eRoom comes in. eRoom can solve the problem by organizing key information for those that would benefit from it. Key participants can add new members and restrict access without relaying on a system administrator. It also allows employees who work in different locations easy access to pertinent information.
BRT provides consulting, project management and implementation services designed to provide a digital workplace that allows people to work together on content, projects, and processes.
